Why document condition?
Photo documentation at pickup and return creates a timestamped visual record of the equipment's condition. If damage is reported after a rental, these photos are the key evidence for resolving disputes fairly.
Sending a photo upload link
From the booking's Task Checklist:
Pickup photos: Find the Pickup Photos step. Click Email Link to send the renter a link, or Copy Link to share manually. The renter opens the link, takes/uploads photos, and submits. Photos appear in the booking detail immediately.
Return photos: Available once the booking is in Active status. Same process — send or copy the return photo link when the renter brings equipment back.
Viewing submitted photos
Photos appear in a grid on the booking detail page once submitted. Click any photo to open it full-size. Photos are stored permanently and linked to the booking record.
AI Inspection
If both pickup and return photos have been submitted, click Run AI Inspection to have OutdoorBot automatically compare the photos and flag potential damage. The AI report is saved to the booking.
FAQ
Q: What if the renter doesn't submit photos?
A: You can proceed without them. However, without documentation you lose the ability to prove pre-rental condition.
Q: Can the admin upload photos on behalf of the renter?
A: Not through the renter photo link. Admins can note condition in the booking notes field.
Q: Are photos backed up?
A: Yes — all photos are stored in object storage with redundancy.
